Editing a Reference Record for Data Accuracy

In any application, the ability to edit linked or reference records is crucial for maintaining up-to-date and accurate information.
This article outlines the process of editing a reference record within a CRM application, although the methodology can be applied across various types of applications.
Scenario: Updating Linked Records in a CRM Application
Continuing with our CRM application example, let’s say an ‘Account’ is linked to several ‘Contacts’, and you need to update the details of a specific ‘Contact’.
Process of Editing Reference Records
Selecting the Record: Open the ‘Account‘ record that has the ‘Contact‘ you need to update.

Navigating to the Relevant Tab

In the CRM application, each linked object is found under its specific tab. Go to the ‘Contact’ tab where the linked contacts are displayed.

Initiating the Editing Process

Locating the Edit Option: Identify the ‘Contact’ you wish to edit. Click the button next to this record.
Selecting Edit: From the options presented (Unlink, Edit, and Delete), choose ‘Edit‘.

Updating Record Information

Editing the Record: The system will display the ‘Update Record‘ form. Here, you can modify any information you need to change.

Saving the Changes

Once you have made the necessary edits, click the ‘Update’ button to save these changes.

Ensuring Data Consistency

Reviewing the Updates: After updating, the changes will be reflected in the ‘Contact‘ tab under the ‘Account‘ record.
Repeating for Other Records: If there are more contacts that require updates, repeat the process for each one to ensure all information is current and accurate.
Editing reference records is a simple yet vital feature that keeps your application’s data relevant and accurate. Whether you’re managing contacts in a CRM, tasks in a project management tool, or any other record type in a different application, regular updates are essential.
This process ensures that your data not only remains current but is also reflective of the real-world scenarios it represents. By following these steps, you can effectively manage and maintain the integrity of your data, ensuring a well-organized and reliable database.
