Scenario: Cleaning Up Linked Records in a CRM Application
In our CRM example, let’s say you have an ‘Account’ with several linked ‘Contacts’, but you need to remove a specific ‘Contact’ that is no longer associated with that ‘Account’.
Process for Deleting Reference Records
Selecting the Account Record: Open the ‘Account’ record that has the ‘Contact’ you wish to remove.
Finding the Contact Tab: Each linked object in our CRM application is organized under its own tab. Go to the ‘Contact‘ tab where the linked contacts are listed.

Initiating the Deletion Process

Locating the Delete Option: Find the ‘Contact’ you need to delete. Click the down arrow button next to this record.
Choosing Delete: A menu will appear with options such as ‘Unlink’, ‘Edit’, and ‘Delete’. Select ‘Delete‘.

Confirming the Deletion

Ensuring Accurate Action: Upon selecting ‘Delete‘, a confirmation message will appear, asking if you are sure about removing the linked record.
Finalizing the Deletion: Confirm your choice by clicking the ‘Delete‘ button.
This action will permanently remove the ‘Contact‘ from being linked to the ‘Account‘.

Maintaining Data Integrity

Removing Additional Contacts: If there are more contacts that need to be deleted, repeat the process for each one.
Reviewing Changes: After deletion, ensure that the contacts list under the ‘Account’ reflects the current and correct associations.
The ability to delete reference records is essential in keeping your application’s data relevant and accurate. Whether updating contacts in a CRM, managing tasks in a project tool, or handling any other record types in different applications, periodically removing unnecessary links is key.
